Youth FIRST Athletics: Data Retention & Deletion

This document explains how long we keep information, the retention choices you control, how deletion works, and the small set of records the law requires us to keep.

Your retention choice, per athlete

For each athlete, the parent/guardian picks one of three retention settings in the app:

Keep until purge: we keep the athlete's data until you delete it or request removal.
Rolling 12 months: data older than 12 months is removed on a rolling basis.
Until age 18: data is kept through the athlete's youth career and removed when they turn 18, the day they stop being a minor on this app, with 30 days' notice to you before removal so you can export or change the setting.

You can change the setting at any time; changes are recorded in the consent audit log.

Deleting everything

You ask in the app. Profile, then Delete account. You type your own name to confirm, so it cannot happen by accident, and you can add a reason if you want to.
Coach Jon confirms with you before anything is removed. A youth request goes to him rather than deleting on the spot, on purpose: an athlete's records are also their family's history, and this stops one person erasing it for everyone. He will contact you first.
You can track the request in the app until it is completed, and a deletion notice email confirms when it is done.
Export first if you want a copy. Family data export is self-serve and immediate, and it is worth doing before you ask for removal.

Adult members of Brevard NEXT delete their own accounts outright, without this step. The difference is deliberate: their records are their own, and no minor's history hangs on them.

What deletion covers

Deletion removes the athlete's account and profile data, medical/allergy/injury information, training and wellness records (check-ins, benchmarks, goals, growth chart, wellness entries, XP/rank), nutrition intake and logs, photos and videos (including anything in the squad reel, public items come out), chat messages authored by the athlete's account, feed posts, push subscriptions, and device cache tied to the account (local storage expires and is cleared on logout regardless).

What we must keep (and why)

A few records survive deletion because the law or basic business protection requires them:

Payment records: payment status and session-count history are retained for tax and accounting purposes (the app never stores card numbers; payments happen outside the app via Venmo, Cash App, Zelle, PayPal, or cash).
Signed liability waivers and consent records: the signed, versioned waiver, consent acknowledgments, and the consent/preference audit log are kept as evidence that consent existed while it did, and for the period Florida law allows claims to be brought.
Aggregate, nameless data: monthly squad totals contain no names and are not tied to an individual, so they are unaffected by individual deletion.

These retained records are kept only as long as the underlying legal purpose requires, then disposed of.

Children's data

For under-13 athletes, all rights here belong to the parent/guardian (the child has no login). Deleting a child's data or refusing further collection is a COPPA right and is honored exactly as described above. See the COPPA Direct Notice to Parents.
